The People Experience Team at Zenjob needs an inspirational Workplace Lead to shape a smooth and fun office & remote work environment for our over 250 Zennies, spread across 6 cities - does that sound like you?

About us

Before we talk more about you, let’s start with us - the People Experience team. Why do we exist and who are we?

At Zenjob we think it’s crucial to create an outstanding experience for our Zennies. Why? Because we think this is what helps us to win over great people who we would love to work with, to enable them to do their best work and to bring so much fun to their work that they wouldn’t want to leave us. We create these experiences for over 250 Zennies across 6 cities in Germany and the Netherlands.

Sound’s ambitious? Yes, it is - but here is who we are and how we do this: Decidedly, we’re not an HR team. We’re not managing resources. We’re here to support our fellow Zennies and do our best to look after them, so that they have everything they need to build great things with the rest of us. We’re split into three teams to make this work: Workplace (your team), People Support and People & Organisational Growth.

Our Workplace team (otherwise known as Office Management) brings our company culture to life by designing and running safe and fun offices as well as remote working. The team also fosters wellbeing and brings everyone together in events and other formats that have or will become Zenjob traditions. As the Workplace Lead and together with our two great Office Managers, you’re both the heart of the company and the first face that our office visitors (employees and other stakeholders) get to see. This is a great responsibility and we’re looking for someone who is up for the challenge!

Some of the typical things you’ll do and challenges you’ll solve 

  • Strategy & Projects: Partnering with the Head of People Experience to set a culture-centric Workplace Strategy & OKRs and bringing it to life by managing all related projects and processes together with the Workplace team
  • Workplace Concepts: Designing and adapting workspaces / remote working that make our Zenjob culture tangible, can always fit our growing team, provide everything we need to do great work and keep us safe by following office safety guidelines
  • Operations & Stakeholder Management: Maintaining a smooth running of the workplaces by managing great relationships with all our stakeholders (internal stakeholders like Marketing & IT, handymen for repairs, facility management, cleaning service, suppliers, landlord, neighbors etc.) 
  • Processes: Proactively creating new processes and guidelines that make us more efficient for both in-office and remote working and allow all Zennies to run a smooth daily business
  • Culture & Interaction: Coming up with and executing creative events, programs and Zenjob traditions, rhythms and routines, both in-person and remote
  • Leadership: Leading, developing and coaching our great Workplace team

The hard skills needed:

  • Several years of experience in a broad Workplace / Office Management role that have taught you how to run smooth processes for over 200 people while still bringing to life a great company culture and ensuring office safety
  • Being a strong organizational talent who can juggle lots of diverse projects at the same time with extremely efficient processes and great project management skills (ideally using Asana and Confluence)
  • Being already a great people manager or having all the skills that are necessary to become one
  • Knowing your way around an office - and at times a construction site -, negotiating with third parties, speaking the language of handymen and taking matters into own hands for smaller repairs and office re-designs
  • Creating presentations and running data-analyses (e.g. for workspace planning, budget controlling etc.) in your sleep
  • Speaking both German and English on a very good level

You’ll thrive in this role if you:

  • Can work both on helicopter view outlining big visions and concepts as well as dive into operational work with focus on the smallest details
  • Are pragmatic and flexible, do not shy away from making decisions and managing difficult trade-offs, ideally based on crunching the numbers
  • Keep your calm even in the most stressful situations
  • Love to create outstanding services, events and experiences (in-person and remote) and know what is necessary to make these experiences memorable
  • Are quick at building trusting and collaborative relationships with your emotional intelligence and love to help others
  • Infect the people around you with your good mood and humor
